Billing and fiscal receipts

When donations are billed and to whom, how payment methods work, and who gets the fiscal receipt and when, for companies and for donors.

Charitips bills the account that funds the donations, then pays each charity, and issues the fiscal receipt to whoever gave: the company that funded the donation, or the person who paid it with their own money.

In short

  • Donations without a set budget are added up and billed on the monthly invoice of the account that pays.
  • A campaign with a fixed budget is billed in full when it is activated.
  • Donations your users pay in a Charitips donor widget are charged on their card at once, never on your invoice.
  • Donations a company funds go on the company's fiscal receipt, once a year or when the campaign ends.
  • Donations a person paid with their own money get a receipt in that person's name.

Who pays

The account that owns the campaign pays for its donations, except those your users pay by card in a donor widget. With account hierarchy enabled, a business customer's account can be billed itself, or its donations can be billed to your account: see Account hierarchy. Prices and fee rates are in your contract and on the pricing page.

When donations are billed

Without a set budget (FREE_AMOUNT)

Each donation is billed as it is used:

  • when it is created, by default;
  • when its charity is chosen, if the campaign has donationsBilledOn: CLAIM. A donation nobody claims is then never billed, and is never assigned to a charity at expiry either.

Billed donations wait for the next monthly invoice of the paying account, and are added up there. Until it is invoiced, a donation can still be deleted.

With a fixed budget (FIXED_AMOUNT)

The whole budget is billed when the campaign is activated, whatever is given in the end: at closing the budget not yet given becomes donations too. Paid by card or direct debit, the campaign starts at once; by bank transfer, it stays PENDING until the transfer arrives.

Donations your users pay (hasBeenCharged: true)

With the B2C use case, your users give their own money in one of two ways:

  • In a Charitips donor widget. The user pays by card in the donor widget embedded in your product. Their card is charged at once, the donation is created already paid, and Charitips transfers it to the charity. Nothing is added to your invoice.
  • In your own checkout. You collect the money from your user, then create the donation with hasBeenCharged: true. It is billed to you like any other donation, on your monthly invoice.

Either way, the receipt goes to the user: see Fiscal receipts.

Payment methods

The paying account needs a payment method in production: a card, a SEPA direct debit or a bank transfer, added in the dashboard billing settings. Without one, creating a donation or a recurring donation, or activating a fixed-budget campaign, answers 402 Missing payment method. A budget too large for a card or a direct debit at once answers 400 with PAYMENT_CARD_AMOUNT_LIMIT_EXCEEDED or SDD_AMOUNT_LIMIT_EXCEEDED.

Read the invoices with List invoices and get a PDF with Generate an invoice download url. With account hierarchy enabled, pass the child's accountId to read its invoices.

Fiscal receipts

Who gets it

  • A company that funds donations (yours, or a business customer's with account hierarchy): the receipt is made out to the account that owns the campaign, with the fiscal information of that account (company name, legal registration number, address). With account hierarchy enabled, a campaign of a child account gives receipts in the child's name, even when your account pays the invoice.
  • A person who paid with their own money (hasBeenCharged: true): the receipt is in the donor's name. It needs the donor's first name, last name and postal address on the donation (donor); without them, generating it answers 403 Donor is missing required fiscal information. The donor can opt out with withFiscalReceipt: false.
  • A person who topped up a donation on a Charitips page: the receipt is in their name and Charitips emails it. See Donation matching.

The part your company adds through matching is a donation of the company: it goes on the company's receipt, never on the donor's.

When it comes

The campaign's fiscalReceiptType decides for the company:

  • YEARLY (default): after the end of the year, Charitips issues one receipt per charity grouping the donations of the year, and sends it to the company automatically.
  • SINGLE_DONATION: the receipts are issued when the campaign closes, one per charity, once the campaign is paid.

For a donation a person paid, call Create a donation fiscal receipt once the donation is PROCESSED (before that: 403 Donation has not been processed yet.), then Get a donation fiscal receipt. The fiscalreceipt_generated webhook tells you when a receipt file is ready.

Receipts are only issued for charities whose fiscalReceiptsSupport is ENABLED. DISABLED and NOT_APPLICABLE charities issue none: for a donor's receipt, they answer 403 This charity does not support fiscal receipts.
